Delegation Portal for Setting Consultations
The Delegation Portal is a system whereby forms from Liquidlogic can be sent to external professionals to submit information. Completed forms can then be returned directly into the live system.
Registering
- Once a potential portal user has provided their details to kirkleesschoolsportal@kirklees.gov.uk this information will be logged on the Kirklees system.

- When a task is subsequently delegated to the user they will receive an email containing a link inviting new users to self-register for the portal. Please note: Self-registration for the portal is only possible once a task has been delegated to the user and the invitation email has been received.

After selecting the link for the Delegation Portal within the email the screen below will be displayed. Select ‘Register for new account’ (right)

- Complete the form, providing your name, role and physical address of your workplace.
- Please tick the box to indicate the portal account is being used as part of your professional role (left).
- When complete, select 'Next' (below).

On the following screen, provide your work email address and create a password which meets the stated requirements (below), then select ‘Next’.

A verification code will be emailed to the address provided. Enter the code and select ‘Next’.

Using the Portal

The log-in screen is displayed. Enter your email address and newly created password (below).

The Delegation Portal home screen (below) will be displayed upon logging into the system.

Currently Assigned Tasks – This tab shows all forms currently assigned to the portal user awaiting completion.
Recently Retracted Tasks – This tab will keep a list of all forms that have been retracted by the worker and are no longer required to be completed by the portal user.
Recently Submitted Tasks – This tab shows a list of forms completed by the portal user and that have been resubmitted to the system.

Update Account – Selecting ‘Update Account’ allows the portal user to update the profile details such as name, email address etc. The user is also able to access the change password function.
Automatic Replies – This allows the portal user to set an ‘Out of Office’ for the portal between specific time periods. Multiple ‘Out of Office’ replies can be set up to allow the portal user to plan for future leave.
Tasks – Returns the user to the Portal Home Screen.
Consultation Forms
When a consultation is delegated to your setting, you will be notified via email. Within the body of the email, you will be able to click on a link that takes you directly to the portal.

Task lists

Select the Currently Assigned Tasks tab to open the Task Lists.

All consultations will in the first instance be delegated to your setting tray and not an individual. The form can then be re-assigned to the person who will be completing the consultation response.

Task List contains tasks assigned specifically to the user. Select a task by clicking on the desired Form Type, which is EHCP School Consultation in the example below. The form opens for completion. Select ‘Reassign’ to view a list of colleagues to whom the task may be redirected for completion.

The Tasks Assigned to your Work Group shows tasks available to any portal users from your team or workplace. Selecting ‘Pickup’ will transfer the task to your personal Task List.

Once you have ‘Picked Up’ the consultation you will be taken to the form. The form will look like the one below, it contains several sections:
- Page 1 – Consultation Letter – This replaces the letter previously sent with the draft via Any Comms
- Pages 2 – 9 – EHC Draft Plan
- Page 10 – The Consultation Response – This is the section you will complete for your consultation response.

Note: You can save the form as a PDF or printed prior to submission. Additionally, it is possible to access a PDF of the form from the Recently Submitted Tasks tab.
Settings to be named in Section I

The setting to be named in section I will be notified via a form in the portal, this will be at the latest 5 working days after the consultation return deadline. Within the form you will be asked to supply a proposed start date.

Things to Note
On rare occasions it may be necessary for the team to retract a form. Whenever this happens you will be notified of the retraction via an email.
